ExecuTime Integration

The New World ERP Human Resources application has been upgraded to integrate fully with ExecuTime, a Tyler Technology time and attendance management application. Data updated in New World is passed to ExecuTime and updated there, while employee hours entered in ExecuTime are passed to New World payroll batches.

The ExecuTime Configuration page is where you identify the notification URLs and the administrator email address and subscribe to the New World ERP application areas that will integrate with ExecuTime. View.
When one of these areas is updated in New World, ExecuTime receives a notification, retrieves the updated data from New World and adds it to ExecuTime.

Field | Description |

Notification Server Url | Location where ExecuTime is installed. When a change is saved in a selected notification area in New World ERP, notification is sent to this URL. |
Last Completed Url | API service that is called when ExecuTime sends payroll data to New World ERP. |
Administrator Email |
Email address where notice of failed notifications is sent. The email tells how many failed notifications have occurred and where to get more detail. (See External HR Failed Notification Log below.) |

The Notification Areas multi-select list boxes contain the New World ERP application areas that may be integrated with ExecuTime. To subscribe to an area, move it from the Available list box to the Selected list box.

Subscriptions to the following four notification areas are required:

Accruals: Accrual hours categories in New World ERP map to benefit hours types in ExecuTime. As soon as a payroll, manual check or adjustment is posted in New World, notification is sent to ExecuTime to update the associated accrual balances.

As soon as a payroll is posted in New World, notification is sent to ExecuTime to update the associated accrual balances:

If accrual hours have been used or added when a manual check is posted, notification is sent to ExecuTime to update the accrual hours for the employee:

If an adjustment process is updating an accrual hours category, as soon as the adjustment is posted, notification is sent to ExecuTime to update the accrual hours:

Departments: Departments in New World are made up of components and structures. The departments in ExecuTime map to New World structures. Notifications are not sent for updated department components, only updated structures.
In New World, updating a component in the department component list also updates the corresponding structure in the department structure list. To have the update appear in ExecuTime, navigate to Maintenance > New World ERP Suite > Miscellaneous Definitions > Departments > Structures, select the Department number, and click Save.

This list maps to the Department list in ExecuTime. Any time this list is updated, ExecuTime reflects the updates:
- Employee: The New World Workforce Administration Demographics tab maps to the ExecuTime General Info tab, the Employment tab maps to the Pay Properties tab, and the Jobs tab maps to the Pay Properties and Positions/Certs/Reqs tabs. Notifications are sent to ExecuTime when each type of data changes.
- Hours Codes: Hours codes in New World map to pay codes in ExecuTime. When an hours code is updated in New World, ExecuTime receives notification, and the corresponding pay code is updated in ExecuTime.
Note: Data that is deleted in New World shows as inactive in ExecuTime.

Position: This notification area refers to the New World position master table that contains all available positions. It maps directly to the ExecuTime position master.
Employee Position: This notification area refers to the actual positions assigned to employees on the Jobs tab in Workforce Administration.
To have positions applied to employees in ExecuTime, subscribe to the Position and Employee Position notification areas.
When you update an employee's primary position in New World, an Employee Position notification is sent to ExecuTime to update the position. If the employee's department is updated at the same time, an Employee notification also is sent to update the employee's department, pay group and pay type.
When you update a non-primary position, an Employee Position notification is sent to update the position only.
Projects: New World Projects (Financial Management > Project Accounting > Project Maintenance) map directly to ExecuTime projects. Creating or editing a project in New World updates the project in ExecuTime. If a project becomes the parent of a child project in New World, the project displays as parent.child in ExecuTime, and notification is sent to ExecuTime to inactivate the original project. View.
Note: Data that is deleted in New World shows as inactive in ExecuTime.

Human Resources > Payroll Manager > Payroll Batch > Import Third-Party Hours
ExecuTime gathers time entry data and sends it to New World ERP, where it is stored in a payroll import temporary table and imported through the Import Third-Party Hours feature in Payroll Manager.
For this purpose, an Import Source drop-down field has been added to the Import Third-Party Hours page. View.
The drop-down contains two options: File Import and Real Time Import. Since ExecuTime already has passed data to New World, select the Real Time Import option. View.
Selecting this option removes the Import File Location/Name field and adds an Import Batch field. View.
This field references the temporary table of payroll hours that has been populated by ExecuTime.
Note: Each time ExecuTime submits hours to New World, an essential batch is created. Each time entry record is attached to the same header to determine what hours can be pulled into what payroll batch.
After making selections in step 1, proceed to steps 2 and 3, following the usual import process.

The External HR Failed Notification Log, a new page in New World ERP, maintains a log of failed communication attempts and retries with ExecuTime. View.
